Award Rules & Regulations

OroMed Health Center Person of the Year Award – Official Rules and Regulations 

Eligibility 

The contest is open only to California residents who are 18 years or older and who work in Federally Qualified Health Centers (FQHCs) or community clinic non-profit health centers. Nominees do not need to be OroMed clients, and nominators may be anyone (including self-nomination) working in a health center or community clinic federally funded. No purchase or payment is required to enter. Each person may submit only one nomination (for themselves or someone else). Ineligible: Employees (and their immediate family/household members) of OroMed or of Health Bridge may not enter or be nominated. 

  • Residency/Age: Must be 18+ and a legal California resident. 

  • Workplace: Employed at a California FQHC or community health clinic (non-profit). (Nominee need not be an OroMed client.) 

  • One Entry: Only one nomination per person (self-nominations allowed). 

  • No Purchase: Entry is free – no purchase, fee or payment is necessary. 

  • Exclusions: Employees (and their family/household) of OroMed or Health Bridge are disqualified. 

How to Enter – Nomination Process 

To nominate someone (or yourself), complete the official application form and submit a short video (a few minutes in length) explaining why the nominee is exceptional. The video should highlight the nominee’s unique qualities, leadership, teamwork, patient care focus, and contributions to their health center. Nominations must include factual examples and original content. 

  • Submission Contents: A completed nomination form and a brief video statement describing what makes the nominee unique in the role and what values or mission they bring to their role as a health center employee.  

  • Originality: All material must be the entrant’s own work. By entering, nominators warrant that the submission is original and does not infringe any third-party rights. (Entrants must have permission to use any names, music, or images in their video.) 

  • Content Guidelines: Videos must be appropriate for public sharing. Submissions must not include illegal, obscene, hate-filled or otherwise offensive content. Do not include any protected health information (PHI) or patient-identifying details; the HIPAA Privacy Rule prohibits sharing patient data without authorization. In other words, stories may be shared in general terms but no patient names or private health details can be used. 

  • Eligibility Confirmation: By submitting, entrants confirm they meet all eligibility requirements and agree that any nominee is aware of and consents to being entered. Any false information or breach of these rules may result in disqualification. 

Key Dates and Timeline 

  • Nomination Period: Submissions open immediately and must be received by July 31, 2025 (11:59 PM Pacific). Late entries will not be accepted. 

  • Judging Period: A panel of judges will review all eligible entries from August 1–5, 2025 (5 days). No public voting will occur. 

  • Winner Announcement: The Person of the Year will be announced on August 9, 2025. 

Judging and Selection Criteria 

All valid entries will be evaluated by an internal panel of OroMed employees. This is a judged contest (no public voting). Each nomination will be scored against the criteria below. The judges’ decisions are final and binding. 

  • Judging: An OroMed committee will review each entry. Judges will score nominees based on the criteria listed below, and select the one overall winner. (There is no public or audience voting.) By entering, participants agree to abide by the judges’ decisions, which are final. 

  • Selection Criteria: Nominees are evaluated on how they demonstrate: 

  • Leadership & Teamwork: How the nominee leads, supports, and collaborates with colleagues and their community. 

  • Patient-Centered Care: The nominee’s focus on quality patient care, compassion, and patient outcomes. 

  • Mission Alignment: The nominee’s support of and contributions to the mission and goals of their health center/organization. 

  • Experience: Length of service and experience working in health centers or community clinics. 

Example: In similar awards programs, entries are “evaluated by a panel of judges based on criteria, each weighted equally”; we follow the same approach. The entry with the highest overall score across these factors will win. 

Prize 

  • Award: The winner will receive a $500 gift card and a personalized commemorative plaque (to display in their office or home). 

  • Prize Conditions: The gift card is non-transferable and cannot be redeemed for cash. No substitutions or cash alternatives are allowed. The winner is responsible for any federal, state, or local taxes or fees associated with accepting the prize. 

Restrictions and Disqualifications 

  • Rule Violations: Any nomination that violates these rules (for example, includes disallowed content or false information) will be disqualified. 

  • One Winner: Only one Person of the Year will be chosen. If a winner cannot be contacted or fails to comply with requirements, another finalist may be selected. 

  • Void Where Prohibited: The contest is subject to all applicable laws and regulations. It is void where prohibited or restricted by law. 

  • Modification/Cancellation: OroMed reserves the right to cancel, modify, or suspend the contest (including deadlines and prizes) at any time if an administrative or technical error occurs or for any reason affecting fairness. Participants cannot transfer or appeal the result; the sponsor’s decisions are final in all matters. 

Media Release, Use of Submission & Privacy 

  • Media Release: By submitting a nomination, both the nominator and nominee grant OroMed Pro the right to use their name, image, biographical information and nomination story for publicity and advertising purposes. This includes posting the winner’s name, photo/video, and story on OroMed’s website, newsletters, and social media. (Entrants must be willing to appear in photos/videos or give interviews if requested, at OroMed’s expense.) 

  • License to Use Submission: Entrants also grant OroMed a perpetual, royalty-free license to use, reproduce, display and distribute the submitted video and written materials in any media. This allows OroMed to share excerpts of the nomination video or story in its promotional materials. OroMed may edit or adapt submissions for clarity, but ownership remains with the entrant. 

  • Intellectual Property: Each entrant certifies their submission is original and that they have all necessary rights to submit it. If a submission includes a third party’s copyrighted material (e.g. music, video clips), the entrant must have permission or a license. Unauthorized content will be disqualified. 

  • Privacy/HIPAA: Nominations must respect privacy laws. Do not include any protected health information (PHI) such as patient names, medical details, or other identifiers. HIPAA strictly prohibits sharing patient-specific data without consent. Stories should focus on the nominee’s professional qualities in general terms. 

Agreement and Governing Law 

By participating, entrants agree to abide by these Official Rules and to the decisions of OroMed, which are final and binding. This contest is conducted in accordance with California’s contest laws. California law governs the contest. All entrants must comply with federal, state and local laws. 

  • Fairness and Transparency: In line with California’s Fair Contest requirements, the contest will be conducted fairly and honestly. All rules, judging methods, and deadlines are stated here. 

  • Acceptance of Rules: Entry implies full acceptance of these rules. Any attempt to submit false or multiple entries will result in disqualification. Entrants release OroMed and its affiliates from any liability in connection with participation or acceptance of the prize. 

  • Legal Jurisdiction: Any disputes will be resolved under California law. If any part of these rules is found invalid, the remaining terms will remain in effect.
